Vice President of Operations

The Opportunity

We are seeking a VP of Operations to take over day-to-day leadership of the business and drive the growth and scaling of Xenicus over the next 24–30 months. This role is ideal for an entrepreneurial operator who wants to run and scale a business, not just manage a function. You will work directly with the founder with the goal to transition into a full operational ownership role in the first 12 months.

Role Overview

The VP of Operations will be responsible for overall business operations, team leadership, client delivery oversight, and growth execution, including sales, account management, and process optimization. This individual will serve as the central leader of the organization, aligning people, processes, and technology to drive scalable growth while maintaining Xenicus’ high-touch client experience.

Key Responsibilities

  1. Operational Leadership
    • Oversee day-to-day operations of the business across all clients and service lines
    • Manage and develop the U.S.-based revenue cycle consulting team
    • Establish structure, accountability, and performance standards across the organization
    • Improve internal workflows, documentation, and operating cadence
  2. Client Delivery & Account Management
    • Ensure consistent, high-quality service delivery across all client engagements
    • Elevate account management approach to improve client satisfaction and retention
    • Support consultants in identifying opportunities to expand services within existing accounts
    • Participate in key client relationships as an executive presence
  3. Growth, Sales & Marketing
    • Build and lead a lightweight but effective sales and marketing function
    • Develop pipeline visibility, CRM usage, and structured sales processes
    • Participate directly in closing new business (independently or alongside consultants)
    • Help expand referral channels and create repeatable growth mechanisms
  4. Technology & AI Strategy
    • Develop and execute a roadmap for technology enablement and AI integration
    • Identify opportunities to improve efficiency, reporting, and scalability through tools and automation
    • Evaluate and implement systems (CRM, reporting, workflow tools, etc.)
    • Serve as the strategic owner of technology direction (not necessarily the technical implementer)
  5. Offshore & Vendor Strategy
    • Oversee performance of offshore RCM teams (currently Philippines-based)
    • Evaluate and potentially establish additional offshore partnerships (e.g., India)
    • Ensure alignment between U.S. consultants and offshore resources
    • Maintain quality, efficiency, and cost-effectiveness
  6. Financial & Business Performance
    • Own operational performance tied to revenue growth and EBITDA
    • Maintain strong margins while scaling the business
    • Support pricing strategy, service packaging, and client profitability

Success Metrics (First 12–24 Months)

  • Meet or exceed revenue growth targets per achievable plan
  • Establish a repeatable sales pipeline and consistent new client acquisition
  • Significantly reduce founder involvement in day-to-day operations
  • Improve organizational structure, accountability, and reporting cadence
  • Successfully implement foundational systems (CRM, workflows, reporting, AI adoption)
  • Maintain strong margins while scaling

Ideal Candidate Profile

Core Experience

  • 7–15+ years of experience in operations, general management, or leadership roles
  • Experience in healthcare, revenue cycle management, or related services strongly preferred
  • Demonstrated ability to scale a small-to-mid-sized business or division
  • Experience working in entrepreneurial or low-structure environments

Skill Set

  • Strong operator: able to bring structure without slowing down execution
  • Comfortable owning both strategy and hands-on execution
  • Experience leading teams and driving accountability
  • Ability to build and manage sales processes and client relationships
  • Strong business judgment across operations, finance, and growth

Technology & AI

  • Experience evaluating and implementing operational technology
  • Ability to lead AI/automation strategy and identify practical use cases
  • Not required to be technical, but must be capable of driving execution

Compensation

  • Base Salary: $160,000 – $175,000
  • Performance Bonus: Substantial opportunity, based on achieving EBITDA targets
  • Long-Term Incentive: Equity/phantom equity participation tied to enterprise value growth. This role offers significant upside for a high-performing operator who successfully scales the business.

Location

  • Fully remote (U.S.-based preferred)
  • Limited travel for key client relationships
